Present at this meeting were the following people:
Levern and
Jean and David Page Jerry and Louise Sammons
Buddy and
Carol & Jesse Fox Dottie & Bill Smith
Melanie Kennedy Diane Buys
Mike Garner
Levern began the meeting by saying we will be reviewing the specific jobs assigned to each of us; and talking about where the money is coming from to pay for the things we need to do to make this a good 70th Anniversary Homecoming. He turned the meeting over to Jean Page to summarize briefly what we need to do.
Jean thanked all of those who have volunteered to help in this planning. She briefly named some of the things we will be considering in this Committee meeting and three (3) of them are listed below:
Where are we now in terms of planning?
What do we have to do?
What do we need to do make this a successful event?
At this point Levern took over the conduct of the meeting as he is the Chairman of this Committee. The first thing reviewed was the various job assignments for each person or groups of people. Each group or a person was confirmed in the assignments that were originally assigned to them. Also it was confirmed that no “theme” would be used and that “Decorations” would be combined with “Flowers.” Carol Fox and Melanie Kennedy will handle this particular part of the Committee. It was suggested that people could be asked to give money for the decorations and flowers. Another suggestion was that we could have one big flower arrangement for decorations in the sanctuary; also that we could have a small and attractive flower arrangement for each table.
With respect to Ushers, it was suggested to Mike Garner that to the extent possible he should get the young fellows to help in this area. The older fellows probably would not be up to doing this as well as the younger fellows.
Barbara Winters, Scottie Hill and Virginia Lord could help in identifying the former members of the church since all three (3) of them have been members here longer than anyone else. It was suggested that Matthew might possibly contact the
Where do we get the money to pay for those things we need that will cost us? It has been suggested that we can obtain this from the CD when it is renewed this month. It was estimated that probably $3,000 would be enough to cover all costs. These are some of the expenses we will have:
Travel expense for speaker.
Expenses for flowers.
Expenses for kitchen supplies.
We will discuss the money situation at the close of the meeting to see how we will record and account for it in our line item accounting.
With regard to things to show at the Homecoming we do have a video of the 60th Anniversary that we could show at the 70th Anniversary as an interesting backdrop. We may want to have a video made of the 70th Anniversary. Jean Champion made the one for the 60th event, but she was a member of the church then. She might be willing to do it again, but we would have to pay her. Another thing we can do as an interest feature is have on display some old pictures of church events in the past.
There was a discussion about whether we would have enough tables and chairs for the 70th Anniversary. We may have to borrow some tables from another church, depending on how many people we might possibly have at the Anniversary. We will wait a while longer about deciding this until we are further along and will then have a more definite idea of how many people may attend.
It was decided that we will not have Sunday school on the day of the Anniversary because we will start our Anniversary program around
The Properties Committee will need to get leaks fixed in the Gym that have caused discoloration of the walls. We need the place to look good. Also we will need to have the floors done in the gymnasium and in the vestibule; also we will need to have the restrooms in good shape. We will have some money in Properties that will enable us to pay for having this done. Also we will need help in setting up the gym so that Carol Fox and Melanie Kennedy can do the decorations.
Matthew advised that we should be sure to do as much as humanly possible to make everything nice and the best because appearances will make an impression on the folks who come to the Homecoming. This will be an opportunity to get people attracted to the church. Be extra creative in all the things that we need to do to enhance this event. Names of several people were mentioned who can help in these projects.
Although we are not going to have such a thing as a “theme,” Louise Sammons suggested that instead of a theme, we should at least have a “slogan” that could be displayed in prominent places where people could see it; also it was suggested that a church history leaflet should be made available for everyone present. Many people do not know the history of this church.
In connection with publicity, it was suggested that TIM FUNK (of the Charlotte Observer) might write up something for the religious section of the paper. We’d have to get in touch with him at the proper time to see if he would do it.
Jean Page said when the CD renews this month, she will re-new it at $50,000. It was worth $70,023.79 as of
We will meet again in two week’s time to discuss additional matters that will come before us. We set the date for March 22, 2009.
A motion was made to adjourn the meeting. This motion was seconded and approved. We adjourned at
